Linecraft Aviation (“Linecraft”, “we”, “us” or “our”) is an Australian aviation consultancy operating as a sole trader.

We take the privacy and confidentiality of personal and operational information seriously. This Privacy Policy explains how we collect, hold, use and disclose personal information through our website, communications, workshops and consulting activities.

We aim to handle personal information in a transparent and responsible way and, where applicable, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to information collected through www.linecraftaviation.com.au and through our business activities more generally.

1. What personal information we may collect

The information we collect depends on how you interact with Linecraft.

It may include:

  • your name;
  • email address;
  • telephone number;
  • organisation, employer or business name;
  • job title or aviation role;
  • information you provide through enquiry, registration or subscription forms;
  • correspondence between you and Linecraft;
  • workshop registrations and professional-development interests;
  • information necessary to establish, manage or deliver a consulting engagement;
  • information contained in documents, records or other material provided by a client; and
  • technical information generated when you use our website.

During consulting engagements, Linecraft may also receive personal information contained within operational material such as:

  • training and checking records;
  • pilot or employee records;
  • safety reports;
  • incident or occurrence information;
  • risk assessments;
  • operational correspondence;
  • manuals, FCOMs, SOPs and related documentation; and
  • project records or supporting evidence.

We do not collect personal information simply because it may be available. We seek to collect only information reasonably necessary for the work being undertaken.

2. Sensitive information

Some aviation records may contain information that is considered sensitive under Australian privacy law, including health information or other information relating to an identifiable individual.

Linecraft does not ordinarily seek sensitive information through its public website.

Where sensitive information is received as part of a consulting engagement, safety investigation, operational review or other legitimate business activity, we will only collect, use and retain it where reasonably necessary for that purpose and where permitted by applicable law.

Where applicable, sensitive information will be handled in accordance with the additional protections required by Australian privacy law.

3. How we collect information

We may collect personal information directly from you when you:

  • submit an enquiry through the Linecraft website;
  • subscribe to updates or articles;
  • register interest in a workshop or event;
  • communicate with us by email, telephone or another communication method;
  • attend a Linecraft workshop, briefing or consultation;
  • engage Linecraft to provide professional services; or
  • provide information as part of a consulting project.

We may also receive information from a client organisation where it is reasonably necessary for us to perform work on that organisation's behalf.

For example, an operator may provide training records, safety information or operational documentation containing names or other personal information so Linecraft can undertake a system review.

4. Why we collect and use personal information

We may collect, hold and use personal information to:

  • respond to enquiries;
  • understand a client's requirements;
  • prepare proposals, quotations and scopes of work;
  • provide aviation consulting services;
  • conduct operational, training, safety or capability reviews;
  • develop manuals, procedures, training systems and related material;
  • administer workshops, briefings and professional-development activities;
  • maintain business and project records;
  • communicate with clients and project participants;
  • manage our website and understand how it is used;
  • send articles, workshop information or other Linecraft updates where a person has chosen to receive them;
  • meet legal, regulatory, insurance or professional obligations; and
  • protect Linecraft's legitimate business interests.

We do not sell or rent personal information.

5. Client information and confidentiality

Much of Linecraft's work involves information that may be operationally sensitive even where it is not legally classified as personal information.

We treat client material as confidential.

Information, documentation and records supplied by a client will only be used for purposes reasonably connected with the relevant engagement, unless:

  • the client authorises another use or disclosure;
  • disclosure is reasonably necessary to provide the agreed service;
  • information has been appropriately de-identified;
  • disclosure is required or authorised by law; or
  • another contractual arrangement permits the disclosure.

Linecraft does not use identifiable client safety reports, training records, operational information or internal documentation as marketing material, case studies or public examples without appropriate permission.

Where lessons from consulting work inform Linecraft's broader professional writing or education, we will seek to remove identifying information and avoid disclosing confidential client material.

6. Website enquiries and forms

When you submit information through a form on the Linecraft website, we use that information for the purpose for which you provided it.

For example:

  • a consulting enquiry will be used to respond to and assess that enquiry;
  • a workshop registration will be used to administer the workshop; and
  • a newsletter subscription will be used to send the communications you requested.

If you choose not to provide information requested in a form, we may be unable to respond fully to your enquiry, register you for an activity or provide the requested service.

7. Email updates and marketing

Linecraft may send articles, workshop announcements, professional-development information and service updates to people who have chosen to receive them.

We do not intend to add people to a marketing list merely because they have contacted us about a consulting project.

Marketing communications will include a practical way to unsubscribe, and we will honour unsubscribe requests in accordance with applicable Australian law.

8. Website analytics and cookies

The Linecraft website is hosted using Squarespace.

Squarespace and its associated services may use cookies and similar technologies that are necessary for website functionality, security and performance.

Linecraft currently uses Squarespace's built-in website analytics to understand matters such as website traffic, page views and general patterns of site use.

Technical information may include matters such as:

  • browser or device type;
  • pages viewed;
  • referring website;
  • approximate location derived from internet connection information;
  • date and time of access; and
  • other technical information associated with use of the website.

We use this information to understand how the site is used and to improve its usefulness.

We do not currently use third-party advertising pixels or behavioural advertising tools.

If our use of analytics, cookies or advertising technologies changes materially, we will update this policy and any relevant cookie or consent settings.

9. How we hold and protect information

Linecraft uses reasonable administrative, technical and organisational measures to protect information from misuse, interference, loss and unauthorised access, modification or disclosure.

Business and project information may be held using services including:

  • Google Workspace;
  • Google Drive;
  • Squarespace; and
  • other professional software or service providers reasonably required to deliver Linecraft's services.

Access to business information is limited to people who reasonably require it for the relevant purpose.

No electronic storage or transmission method can be guaranteed to be completely secure. We therefore take a proportionate approach to information security based on the nature and sensitivity of the material involved.

10. Overseas storage and service providers

Some of the technology providers used by Linecraft operate internationally.

As a result, personal information may be stored, processed or made accessible outside Australia, including in countries in which our technology providers operate.

This may occur through services such as Google Workspace, Google Drive and Squarespace.

Where applicable, we take reasonable steps to select reputable service providers and manage personal information consistently with our legal and contractual obligations.

11. Disclosure to other parties

Linecraft may disclose personal information where reasonably necessary to:

  • technology and cloud-service providers;
  • professional advisers;
  • contractors or specialist consultants engaged to assist with a project;
  • a client organisation where the information relates to work being performed for that client;
  • regulatory or government authorities where required or authorised by law;
  • insurers or legal advisers where reasonably necessary; or
  • another person or organisation with the individual's consent.

We do not disclose personal information to unrelated third parties for them to independently market their products or services.

Where another consultant or specialist supports a Linecraft project, access should be limited to information reasonably necessary for that work and subject to appropriate confidentiality arrangements.

12. Photographs at workshops and events

Linecraft may occasionally take photographs or other visual material at workshops, briefings or professional-development events.

Where identifiable participants may appear in material intended for marketing, publication or social media, we will seek appropriate permission or provide clear notice and a reasonable opportunity not to participate in photography.

Attendance at a Linecraft event will not automatically be treated as unrestricted consent for an identifiable image to be used for promotional purposes.

13. Retention of information

We retain personal and project information only for as long as reasonably necessary for:

  • the purpose for which it was collected;
  • delivering or documenting a consulting engagement;
  • maintaining appropriate business records;
  • meeting contractual, regulatory, insurance or legal requirements; or
  • protecting legitimate business interests.

When information is no longer reasonably required, we may delete, securely destroy or de-identify it where appropriate.

Different types of project and business records may need to be retained for different periods.

14. Accessing or correcting your information

You may contact Linecraft if you would like to:

  • know what personal information we hold about you;
  • request access to that information;
  • ask us to correct information you believe is inaccurate, incomplete or out of date; or
  • raise a concern about how your information has been handled.

We may need to verify your identity before providing access to personal information.

In some circumstances, access may be restricted where required or permitted by law, or where providing access would affect the privacy or rights of another person.

15. Privacy questions and complaints

Please identify that your enquiry relates to privacy so it can be handled appropriately.

We will aim to acknowledge privacy concerns promptly, investigate them reasonably and provide a response appropriate to the circumstances.

If a complaint cannot be resolved directly and the Privacy Act applies to the matter, you may also have the right to contact the Office of the Australian Information Commissioner (OAIC) .

16. Data breaches

If Linecraft becomes aware of unauthorised access to, disclosure of, or loss of information, we will assess the circumstances and take reasonable steps to contain and address the issue.

Where applicable, this includes complying with any notification obligations imposed by Australian privacy law.

17. Changes to this policy

Linecraft's services, technology and information-handling practices may change over time.

We may update this Privacy Policy to reflect those changes or changes in applicable law.

The current version will be published on the Linecraft website with the date of the most recent update.
